Rules for registration to field trips prior/after the IAVCEI Scientific Assembly:

  1. You can only sign up for a field trip if you have registered as an in-person attendee of the Scientific Assembly.
  2. Registration for field trips will be treated on a first come, first served basis. Please note that the payment of the registration fees for field trips will be incurred in Euro. (except for fieldtrip 9, fees in CHF)
  3. Registration deadline: 28 February 2025, 11.59 am Central European time
  4. Each field trip requires a minimum number of participants and has a maximum capacity. It will be communicated to all participants at latest on 3 March 2025 whether a certain field trip will take place or not. If a field trip must be cancelled, you will be refunded or given the option to transfer to a different field trip (in case of vacancies). Please note that this refund is limited to the costs of the field trip incurred by IAVCEI. IAVCEI will not cover costs in case personal travel plans have to be modified.

You can only sign up for a field trip if you have registered beforehand as an in-person attendee of the Scientific Assembly. As registration to the Scientific Assembly (in CHF) and field trip registration (in € [exception field trip #9]) are incurred in different currencies, this is a two-step process. In order to recognise your successful registration to the Scientific Assembly, please use the same email address when registering for a field trip.

Cancellation policy of field trips

  1. Before 28 February 2025: Full refund
  2. After 3 March 2025: No reimbursement possible in case a certain field trip takes place. It will be however possible to replace a participant. For this, it is the responsibility of the person that no longer wishes to participate in a field trip to find someone interested to take over. The “new” participant will pay the registration fees of the participant that had to cancel (no money flow via IAVCEI).

General Terms and Conditions for Processing Personal Data

For all the above mentioned purposes apply the following:

  • We protect your personal data so they are not unlawfully used or disclosed to persons, who are not authorized to process them.
  • We do not make your personal data public unless we have your consent to do so.
  • We use processors for the processing of your personal data – providers of IT systems, through which the registration is performed, and providers of servers where the data are stored; we do not publicly disclose more information about our processors due to protection of your personal data from their unlawful obtaining by intervention of third party and protection of our trade secrets. We can provide more information based on your request.
