As we promised you, time has come to take and announce our final decision as regards the COV11 Conference.
Over the past months the COV11 Local Organizing Committee, along with the IAVCEI Executive committee, the Cities and Volcanoes Commission and CONVIN (the Professional Congress Organizer), have continuously evaluated the evolution of the global Covid-19 situation and all possible options for the conference.
Based on our ultimate evaluation on June 29, we cautiously feel more optimistic and have decided to hold the COV11 conference in Crete on September 25-30, 2020, as an hybrid event combining both virtual and physical attendance.
Within the next few days you will receive a letter from the Professional Conference Organizers with all information concerning the next steps. At this stage, there is no further action required from your side.
Keeping with the tradition of IAVCEI events, we encourage the physical participation of all those of you who will be able to reach Crete in September. In addition to the exceptional framework of Crete island, they could enjoy the warm atmosphere of in-person meeting and physically participate to scientific sessions and parallel activities. The POC will take care of all technical aspects and of safety rules imposed by national regulations. In particular, safe distancing rules and a 50% reduced host capacity of the conference rooms will impose us to limit the number of physical attendance to 300 people. On-site participations will be validated on a first-come first-served basis.
For those who missed the opportunity to submit an abstract, we plan to soon re-open the submission process but only for a limited interval in July. So please stay tuned. The Registration procedure will be open again and details will be announced soon. The final scientific program will be dispatched by mid-August. Poster sessions will be carried out purely in online mode, giving more people the opportunity to join and present their work.
We have also decided to cancel all field trips except for the Post-Field Trip Santorini Volcano – The naked child, which will be held between 1 and 4 October 2020. As field trips are a strong tradition in COV conferences, we encourage attendees to join the Santorini Post-Field Trip and get the opportunity to combine scientific business with pleasure in visiting one of the most beautiful islands of Greece and one of the most spectacular caldera-related insular volcano in the world.
We are confident that, despite difficulties related to the Covid pandemic, the COV11 Conference in Crete by September could be very successful and we will make all necessary adjustments to warrant this.
Be sure that all protocols for warranting the safety and wellbeing of participants will be carefully followed. Certified COVID-19 staff will be present on site at the conference venue and during all conference activities. Masks and antiseptics will be available in multiple areas of the Conference Venue, Meeting Rooms and Registration Area. Meetings rooms will be adjusted to a 50% capacity whilst at the same time ventilation will be performed regularly. Catering areas will be multiplied and divided in more than one levels so that all in-person participants will be able to continue networking with colleagues in safe conditions.
Furthermore, we would like to thank all those of you who answered our questionnaire regarding COV11 participants’ expectations. The survey closed on Thursday June 25,2020 with a response rate of more than 80%. We show you below the Results.
We are confident that despite all the difficulties, we will be able to having many of you participating either physically or virtually to COV11 in September, making it a conference to remember.
